What is COBIT 5 ?

COBIT is short for Control Objectives for Information and Related Technologies. It is a collection of standards and procedures to assist organizations make the most out of IT capital. It provide tools for the construction, oversight and improvement of execution, while lowering costs and upholding privacy requirements. Features of Cobit 5 are:

• Management guidelines
• Process description
• Object controlling
• Enhanced frameworks

What is ITIL ?

ITIL stands for Information Technology Infrastructure Library. It is a system for handling the IT resources of an enterprise. It uses, over the full lifespan, a collection of best practices, preparation, and choice. Some features of ITIL:

• Service strategy
• Service design
• Service operation
• Service transition

COBIT5 VS ITIL

Cobit5 focus on ITSM, however as it analyses the whole enterprise, it has a wider perspective than ITIL. Whereas, the ITIL only focus on a specific IT domain rather focusing the whole company. Cobit5 is more on IT governance, where the ITIL is relying on IT service management. Cobit5 align IT and business goals, where the ITIL concentrate on operation. Cobit5 also brings IT values for the business approaches where the ITIL compare and reduce implementing cost without losing the impact.

Initial approach be to get an overview of the scenario

• First and most, conduct research and understand the pros and cons of implementing this technology and realize that do this change is really necessary or not.
• Understand the complete structure of the system and build a prototype or framework to show it to the stakeholders.
• Stakeholder analysis: Understand who are the stakeholders in it. In this project it will be the IT infrastructure manager and a professional website developer with knowledge in ML tools.
• Develop a Risk management and change management setup before approaching to the system.
• Realize the benefits of merging this technology to the current system.
• As we are playing on the live running website, a backup for this is really required to prevent uneven loss of data.
• Notify the customer about the proposed changes as a notification or announcement in the website itself.

choice of technology and deployment environment for Assignment 2

As discussed in the previous blog, the technology we used here is the Machine learning to read the customer activities and respond according to the customer preference while they are browsing our website. The deployment environment is the website of the travel agency where the customer login and start booking.

 IT Service management framework of choice – why?

As the result of above comparison with COBIT5 and ITIL, we choose ITIL as a framework for developing this technology. Because we are specifically focusing on implementing the ML in the web application which will eventually brings profit and growth to the company. ITIL frameworks also compromise with the developing cost without losing the effectiveness which will be really helpful for an average firm like our travel agency. Thus, ITIL will suits for this change.

IT Service Management Frameworks – Excercise

Project management:

Get an overview of the project and how to communicate with the stakeholders about the approaching changes. Therefore, this project is mainly divided into knowing what existing firewall system and what new to be implemented. Being in a permanent position in firewall configuration and maintenance, need for understanding the existing system is not much relevant. However, gaining enough knowledge about the new system is mandatory.

Stakeholder analysis:

Understand who are the major stakeholders in this project and try to convince the stakeholders on how beneficial will it be for this project, if I got into this position. Set a feedback system for bug and update analysis from the clients in future.

• Team leader
• Clients

Convince the clients about the new migration and its benefits in security and other features.

Technical knowledge

• Collect maximum technical knowledge about the new firewall and learn its configuration.
• Try to go through its tutorials and other manuals to get an overview of it and tools used in it.
• Try comparing it with other devices and understand its pros and cons.
• Know about the future impact.
• Get to know about the firewall monitoring tools like Nagios, Zabbix etc.

Methodology

Agile approach is a type of project methodology, commonly used for the creation of software, where specifications and solutions emerge through the combined effort of teams and organization. The main deliverables are roadmap, product vision, backlog etc.

Agile methodology will be suitable as it comes under a teamwork. Assigning a team, communicating with them and with the stakeholders, table up a timeline to see the lifecycle of the project. Work Breakdown Structure (WBS) is an essential approach in this to split the works between different team member. This will ease the project tasks and helps to involve each team members into this project.

ITIL is nothing but a framework of IT service management to provide IT services needed for a business. This can help any organization to set a base line for their business and plan according to their project strategies. Where as on the other hand, COBIT 5 is a methodology used to integrate business goals to IT goals. This helps in assigning duties to both business and IT services by monitoring and improving the business. The first stage of the introduction of COBIT will be to plan for partners to accomplish, identify and set out the targets. There are targets to specifically resolve the issues at hand and help determine when IT protocols would be required. The ITIL mechanism is located exclusively inside the IT division, unlike COBIT, which needs input from donors, and other administrators.

CLASS WORK: Considering the NET603 Travel Agency topic as an instance: Migrating local Servers to the cloud.

1. STAKEHOLDER ANALYSIS: In my opinion, get a picture about the entire project plan and ready to present it to the company’s main stakeholders – CEO, Senior IT engineer, Manager. As a Project manager, a PPT presentation about the whole framework of the cloud migration along with the scope, timeframe, risks and future achievements.
2. TEAM IMPLEMENTATION: Being a PM in this small firm, I wont recommend too many staff to work with this migration. It only requires two staff – Cloud migration specialist and a Network engineer. The Senior IT engineer will provide them with enough resources and brief about the project. And finally as a PM, I will review the project and communicate with the stakeholder with the updates.
3. COMMUNICATE DESIRED VISION: The Senior IT engineer should communicate the vision of the cloud migration project with the team assigned to it. This will help the team to take the project to success by realizing the importance of this change. This includes – Future benefits, impact of not doing it now, road map and stakeholder involvement.
4. EMPOWER ROLE PLAYERS: Give the team a good knowledge about what they doing and the intensity of it. Providing – proper training, frequent updates to the Senior IT engineer about the project roadmaps, prepare a scheduled meeting with the stakeholder briefing about the development. Moreover, I will try to give some incentives to the the staff worked behind this as an appreciation to the staff worked for it.
5. KEEP A TRACK & SUSTAIN CHANGES: Record all updates and keep a track on each milestones as it should be reserved for the future implementation. I will use some Project management tools like Scoro for team collaboration, Shared team calendar & meeting scheduling. This helps to get feedbacks and spot down the errors and bugs while migrating and as well as for adopting new ideas.
